Handyman Estimate Template: Hourly, Blocks, and Punch Lists

Short answer: A handyman estimate template prices in time, not in square feet — an hourly rate with a stated minimum, or half-day and full-day blocks for a punch list. Quote a fixed price only when the whole scope is visible. Charge one setup per location, show materials with your markup on their own lines, and put travel and the dump run in writing. Anything hidden behind trim or drywall goes in as a conditional with a rate and no dollars in the total.

Handyman work is the only trade where the estimate has to describe twelve unrelated jobs at once, and where the thing that decides your year is not any of those twelve. It is the driving, the supply runs, and the twenty minutes at the door. Price the day, not the task. What has to be on a handyman estimate?

Seven blocks, and the two most valuable ones are the boundaries rather than the work.

The item list is the estimate. Number the items and write them the way you would tell another tradesman: “rehang closet door, plane the bottom edge, reset strike plate” instead of “fix door.” Numbered items are also what lets a customer cut the list to fit a budget without renegotiating everything else.

Should the job be hourly, a block, or a fixed price?

Fixed price rewards you when the scope is fully visible. Hourly protects you when it is not. Blocks are for a list.

The tell for fixed pricing is simple. Can you name every step out loud right now without a maybe in it? Fixed. Any maybe in the sentence, and it goes hourly with a stated cap so the customer still knows the ceiling.

How many hours of an eight-hour day can I actually bill?

Fewer than you think, and this number is the whole reason handymen stay busy and end the year flat. Track one honest day.

Fifty-six percent. That ratio, not your hourly rate, is the number that decides whether the day made money. Work out what you need the day to produce — your own pay, the truck, insurance, tools, phone, and the hours nobody pays for — then divide by billable hours rather than clock hours. A day that has to gross $560 across 4.7 billable hours needs $119 an hour, not $70.

Two levers move that ratio, and neither one is working faster. The first is stacking items at one address, because one drive and one setup serve twelve tasks instead of one. The second is a minimum charge.

The minimum. A one-hour or two-hour minimum is not a fee for being difficult. It is the price of the forty minutes of driving and the ten minutes of parking that a twenty-minute job still costs. Write it on the estimate as a line — “two-hour minimum on service visits” — and quote small jobs at the minimum rather than talking yourself down to a number that loses money in public.

How do I price a punch list of a dozen unrelated items?

Time each item from your own history, sum it, then sell the sum as blocks. Here is a real-shaped list.

Line 7 is the item most handymen forget to price. Mud has to dry. Caulk has to cure. Paint needs a second coat. A punch list with any patching in it is a two-visit job, and the second visit carries its own drive and its own setup even though it is only ninety minutes of work. Price it as a line, not as goodwill.

Thirteen and a half hours is a full day plus a half day, which is exactly how it should be sold.

Customer supplies: kitchen faucet, three exterior light fixtures, three interior door knobs, two bookcases, closet shelf and rod. Parts must be on site and unboxed the morning of day one. That customer-supplied paragraph earns its space. The single most expensive thing that happens to a handyman is arriving at a full-day block and finding the faucet still in a warehouse.

How do I mark up materials without eating the supply run?

By understanding that markup and margin are not the same number, and that neither one covers the drive.

Markup is what you add to what you paid. Margin is what remains in the price. You spend $120 at the hardware store, add 30 percent, and bill $156. Your $36 is 23 percent of the price, not 30. To actually keep 30 percent, divide: $120 ÷ 0.70 = $171.

Even at 35 percent, that $65 has to cover the forty-five minutes you spent buying, the trip you made because the first anchor was wrong, and the box of leftovers that lives in your truck forever. Which is why the mid-day supply run belongs on the estimate as its own line whenever it is foreseeable, and why a list that is fully specified at the walkthrough is worth more to you than a bigger hourly rate.

What has to be conditional, and what has to be declined?

Two different piles, and mixing them up is how a handyman ends up in front of a licensing board.

The dollar threshold is worth checking before you write a big block estimate, because “labor, materials, and all other costs” is how those limits are usually counted, not labor alone.

How long is the estimate valid, and how does the customer approve it?

Thirty days. Small-item pricing does not move much in a month, but your calendar does, and a block you quoted in February should not commit a Saturday in June.

Approval needs the total, the deposit, a start date, and a reply you can keep. A deposit on handyman work should cover the materials you buy up front and nothing more — you are not carrying weeks of exposure the way a remodeler is. Then add the sentence that saves the most money in this trade: items added on the day are quoted and confirmed before they start. Handyman customers add items.
