Handyman Invoice Template With Example

Handyman Invoice Template: Blocks, Tasks, and Materials

Short answer: A handyman invoice template shows time the way you sold it: an hourly line with the clock window, or a four-hour half-day block with the tasks it covered listed underneath. Materials get one line at cost with the markup stated. Travel, supply runs, and dump fees are separate lines, not gifts. Small jobs show the minimum charge and the measured time side by side. Added tasks appear as their own line with the time they were approved.

The handyman invoice has a problem no other trade has: the work is a list of unrelated things, and the customer remembers the two that took ten minutes rather than the one that took two hours. An invoice that lists tasks without structure invites a line-by-line negotiation. The template below groups the day into blocks, keeps materials and trips visible, and closes the same afternoon. Every dollar figure in the example is one operator’s rate on one day, shown so the structure is readable — not a rate to copy. Handyman rates swing widely between metros and even between neighbourhoods in one metro, and they move with your insurance, your truck stock, and how far apart your jobs sit. Build yours from your own costs and check it against what your own market actually pays.

What does a handyman invoice template need on it?

BlockWhat goes in itWhy it matters on small jobs
HeaderInvoice number, date, service address, phoneYou may write six of these a week, so the numbering has to be automatic and sequential
Time soldThe block or hourly line with actual clock windows”8:00 a.m. to 12:00 p.m.” ends the argument that you were there for two hours
Task recordThe list covered by that time, no price beside each itemPricing each task individually invites cherry-picking
Flat-priced itemsAnything agreed in advance as a fixed numberAssembly, mounting, and similar known-scope work
MaterialsOne line at cost, with your markup stated as a percentageCustomers accept a stated markup and resent a hidden one
Trips and disposalSupply runs and dump fees, pricedThese are half of where a handyman day disappears
TermsMinimum charge, payment methods, callback windowThe minimum has to be visible before the day it applies

Flat price or hourly — which does the invoice show?

The rule is about certainty, not size. Fixed scope means a fixed price; unknown scope means the clock.

The jobBill itWhy
Assemble two flat-pack dressersFlat, per itemYou know the time within ten minutes
Mount a TV on a known wall typeFlatScope is visible before you start
”The bathroom door does not latch”HourlyCould be a strike plate or a sagging jamb
Punch list before a rental turnoverHalf or full day blockMany small unknowns average out over four hours
”Look at the leak under the sink”Hourly with a minimumDiagnosis is the product

Blocks are the underrated option. A half-day block prices the day the way you actually sell it — four hours of a skilled person with a stocked truck — and it stops the customer from stopwatching a task that ran long. It also lets you absorb the eleventh-hour “while you’re here” request without renegotiating.

Decide deliberately whether the block sits below your hourly rate. The example invoice below sells four hours at $340, which is $85 an hour against a $95 posted rate. That gap is not generosity: a booked morning is worth something to you, because it fills the schedule in advance and removes the two unbilled drives that a second address would have added. What you must not do is discount the block and then also eat the supply run and the dump run — at that point the block is subsidising the day rather than anchoring it.

How do I invoice a punch list with eight small tasks?

List the tasks, price the time. The tasks belong on the invoice as a record of what was done, but the dollars attach to the block or the hours, not to each item. The moment a customer sees “reset toilet — $85” beside “replace two cover plates — $18,” you have handed them a menu to argue with, and one of those two lines will come back.

There is a second reason to keep the list. In many states, unlicensed handyman work is capped by a dollar threshold per job or excludes trade work such as electrical, plumbing, and HVAC entirely. The invoice is the document a regulator or an insurer reads. Confirm your own state’s threshold, how it treats a project split across several invoices, and which tasks require a licensed trade — then keep those tasks off your invoice and refer them out.

Where does the day leak, and how does the invoice stop it?

This is the number that decides whether a handyman business works. The posted rate on that invoice is $95 an hour. Here is the day it came from.

ClockWhat happenedOn the invoice?
7:10 – 7:40Load truck, check list, pull stockNo
7:40 – 8:00Drive to the jobNo
8:00 – 12:00Block workYes
12:00 – 12:20BreakNo
12:20 – 1:20Assembly, flat pricedYes
1:20 – 2:35Added tasks, hourlyYes
2:35 – 3:20Supply runYes, as a trip line
3:20 – 4:10Transfer stationYes, as a disposal line
4:10 – 4:45Drive home, write invoice, file receiptsNo

That is 7:10 a.m. to 4:45 p.m. — nine hours thirty-five minutes, or 9.58 hours, from first load to filed receipt. Take the material line back out of the total and $731.75 of that invoice is time and trips, which is $76.38 for every hour on the clock ($731.75 ÷ 9.58) against a posted rate of $95. And that was a good day, because both the supply run and the dump run got billed and the whole thing happened at one address.

Three small jobs at three addresses on the same day looks busier and pays worse. Every unbilled drive is a discount you gave without deciding to. The fixes are structural: a minimum that covers the trip, trip lines that actually appear on the invoice, and routing that keeps the truck at one address as long as possible.

How do I show material markup without an argument?

State it. One line, cost plus a named percentage, receipts attached. “Materials at cost $84.20 plus 20%” gets accepted almost every time; a $101 line that says only “materials” gets a phone call.

Markup is not a fee for handing over parts. It covers the drive to buy them, the truck stock that sat on the shelf for four months waiting for this job, the return trip when a part is wrong, and the money you fronted. If a customer wants to supply materials themselves, agree in advance and say what changes on the invoice: no markup line, and no warranty on the part. Owner-supplied parts that fail turn into a second visit, and the second visit is billable.

How do added tasks get on the invoice mid-visit?

As their own line, with the time they were approved on it. Line 3 in the example carries “approved 12:40 p.m.” for exactly that reason — it is the line most likely to be questioned, and a timestamp answers the question before it is asked.

Say the number out loud before you start the extra work, even when it is small. “That track is about an hour, so around ninety-five dollars — want me to do it?” takes four seconds and converts a surprise into a decision. The same discipline applies to the block: when the added work will push past the block you sold, tell them at the boundary, not on the invoice.

What terms and records go with a same-day visit?

Keep the terms to four lines: the minimum, when payment is due, the callback window, and what is excluded. A two-hour minimum stated on every invoice — including the ones where it does not apply — makes the day it does apply uncontroversial. On a forty-minute job the invoice should show both numbers plainly: “Two-hour minimum applied; on site 9:05 – 9:45 a.m.” Nobody disputes arithmetic they can see.

Send it before you leave the driveway. Same-day payment on small residential work is mostly a scheduling habit, and it is the same structural approach used for any short-cycle invoice, which is covered generally in freelance invoice template and example.

Then keep the paper. Receipts are what make the material line defensible and what turns fifty small jobs into a return that survives scrutiny — the IRS position on how long to hold records is on its record retention page, and the practical filing side is in contractor receipt organizer and how long to keep tax records.

Keel is built for the volume this trade generates. Six invoices a week means sequential numbering you do not think about, your logo already on the PDF, and a payment link rendered as a QR code the customer scans off your phone before you pack the ladder — Keel carries the link rather than processing the card. Hardware store and transfer station receipts get photographed at the counter and read on the device by Apple Intelligence: no account, no bank connection, no cloud, and an App Store privacy label that reads Data Not Collected. Every hop between addresses can be logged as mileage, which on a route-based day is the deduction most often lost. At year end the Accountant Pack exports a CSV plus a one-page summary, and the whole year leaves as a single file. Keel is free with unlimited invoices, receipts, and mileage; Keel Pro is a one-time $249.99 Lifetime purchase, not a subscription.

Frequently asked questions

What should a handyman invoice include? Your business name and contact details, the service address, an invoice number, and the date. Then the time as you sold it — an hourly line with clock windows or a named block — plus the task list that time covered, flat-priced items, materials at cost with the markup stated, trip and disposal lines, and terms carrying the minimum charge, payment method, and callback window.

Should a handyman charge hourly or a flat rate? Flat when the scope is visible before you start, hourly when the job requires discovery. Assembly, mounting, and similar known work should be flat so speed pays you. Diagnostic work should be hourly with a minimum so an unexpected two hours does not come out of your pocket. Many visits use both on the same invoice.

How do I price a half-day handyman block? Take your target hourly rate, multiply by the hours in the block, then decide consciously how far under that figure you are willing to sell. Four hours at a $95 rate is $380; many operators post $340 because a booked morning removes an unbilled drive and a gap in the schedule. Anything deeper than roughly ten percent usually means you are absorbing trips and disposal too, and the block stops paying for itself.

How much should a handyman mark up materials? Pick a percentage you can say out loud, apply it consistently, and print it on the invoice next to the cost. The markup pays for the buying trip, the truck stock, the returns, and the cash you fronted. If a customer prefers to supply parts, agree in advance that there is no markup line and no warranty on the part they bought.

Should I charge for travel time as a handyman? Charge for it through structure rather than a line called travel, which customers resist. A minimum charge that covers the trip, a per-trip supply run line, and blocks that keep you at one address all bill the same reality. On a day with three addresses, unbilled driving can pull an effective hourly rate well below the number on your invoice.

How do I invoice a job that took less than an hour? Show both figures: the minimum charge and the actual time on site, side by side. A line reading “two-hour minimum applied, on site 9:05 to 9:45 a.m.” is transparent and rarely disputed. Keep the minimum on every invoice you send, including jobs that run long, so it is a standing policy rather than a surprise.
