The four-part pattern
- Meeting reference. Name the meeting or time.
- Brief reason. One sentence, if needed.
- Acknowledgement. Especially if the change is late.
- Replacement slots. Two or three times.
That is enough. Long explanations rarely improve the message.

Say that cleanly.
I am going to cancel today’s sync because the decision moved to Friday’s planning meeting. No need to reschedule unless something changes before then.
