How to write a professional follow-up email
Most follow-up emails fail before the reader finishes the first line. Not because the request is unreasonable, but because the email buries it. This guide covers when to follow up, shows a weak and a strong example side by side, and ends with four rules you can reuse for every follow-up you send.
When should you send a follow-up email?
Timing depends on what you are waiting for.
- After a meeting or call: the same day, or the next morning. You are confirming decisions while everyone still remembers making them.
- After sending something that needs a decision: two to three business days. Less feels pushy. More lets the topic go cold.
- After a previous follow-up went unanswered: about a week. And bring something new — a deadline, an updated document, a changed condition. A bare “bumping this” gives the reader nothing to act on.
- After three attempts: stop. Close the loop in one line and leave the door open. Silence is an answer too.
What does a weak follow-up look like?
This is the follow-up most people send. Every sentence is polite. None of them work.

I hope this email finds you well and that you had a great weekend. I just wanted to reach out and touch base regarding our call last Thursday. It was really great speaking with you and learning more about your team’s needs.
I was wondering if you had a chance to look over the materials we discussed? I know things can get really busy, so no worries at all if you haven’t gotten to it yet. Whenever you have a moment, it would be great to hear your thoughts. Also, at some point it might make sense to hop on another quick call to discuss the quote and the scope and any questions you might have.

About 130 words. Zero dates. Three soft asks — look at the materials, share thoughts, maybe another call — which means no real ask at all. John can reply “Will do” and nothing moves. He can also reply nothing, because the email gave him permission: “no worries at all.”
What does a strong follow-up look like?
Same sender, same situation, same goal.
John — closing the loop on Thursday’s call. Two things before Friday: the revised quote (attached) and a 15-min slot to lock scope. Does 10:00 work?
Twenty-six words. Context arrives in the first seven. The email delivers one thing and asks one thing. The closing question can be answered with a single word, from a phone, between meetings. That is what gets replies — not warmth, not length, but a low cost of response.
What four rules separate them?
- Short sentences. One idea per sentence. If a sentence needs two commas to survive, it usually wants to be two sentences.
- No filler. Cut “just checking in,” “hope you’re well,” “sorry to bother you,” and “no worries if not.” Filler feels polite to the writer and reads as cost to the reader.
- One ask. An email with three asks gets zero answers. Pick the ask that unblocks everything else and save the rest for the next email.
- A next step with a date. “Whenever works for you” means never. “Does 10:00 Friday work?” creates a decision. Dates turn intentions into calendar entries.
Run the weak example through these rules and the strong one falls out almost automatically. The rules do the editing for you.
What should the subject line say?
If you are replying within the thread, keep the thread. The existing subject line carries the context for free.
If you are starting fresh, name the deliverable and the date: “Revised quote — confirm Friday 10:00.” Never send “Following up” alone. It describes your anxiety, not their next action.
