Fence Installation Estimate Template That Shows Post Count
Short answer: A fence installation estimate template prices the run by the linear foot but shows the post count underneath it. Divide each run by your post spacing, round up, add one post per run, and add two more for every gate. Then price the holes: a 10-inch by 30-inch hole with a 4x4 in it takes about 2.6 bags of 60-pound mix. Slope, utility locates, demolition of the old fence, and each gate get their own lines.
A linear-foot price is how fencing gets sold and it is also how fencing gets underbid, because the foot is not what costs you money. The post is. Two backyards can measure the same 174 feet and differ by ten holes, ten sets of concrete, and half a day, purely because one has more corners and a gate in the wrong place. An estimate that only shows dollars per foot hides that from the customer and, more dangerously, from you. The line descriptions you settle on here are the same ones that will eventually appear on the bill, and what an invoice has to include starts from whatever you wrote on the estimate.

Across the top: the property address, an estimate number, the date, the expiration, the total linear footage, the height, and the material. At the bottom: exclusions, conditionals, and a signature line with the deposit amount.
How do I turn a run into a post count?
Break the perimeter into runs first. A run is a straight stretch between two direction changes or two gates. Then for each run: length divided by your maximum spacing, rounded up, is the bay count; bays plus one is the post count.

Tightening spacing from 8 feet to 6 feet on 174 feet of fence adds roughly seven posts, seven holes, fourteen more bags of mix, and the hours that go with them. That is a real decision with a real number attached, and it should be an option on the estimate rather than something you quietly absorb.
Two more counting rules. Every gate opening consumes two posts, and a drive gate wants 6x6s rather than 4x4s; where a gate sits between two runs, the same post serves both sides, so count it once. Corners are terminal posts too, and on chain link they need tension bands and a brace assembly that line posts do not.
How much concrete does each hole actually take?
More than most estimates allow for, which is why the mix is a line and not a rounding error.
Depth is set by rule, not by preference: roughly one third of the above-grade post height, or below the local frost line, whichever is deeper, with 24 inches as a common floor. A 6-foot fence in a no-frost market gets 24 to 30 inches; the same fence in frost country often gets 36 to 42. Hole diameter runs about three times the post width, so a 4x4 wants a 10 to 12 inch hole.

Twenty line posts at 30 inches plus four gate posts at 36 inches is about 51 bags of 80-pound mix — more than two thousand pounds of material to buy, deliver, carry to each hole, and mix. Put the bag count in your own working notes even if the customer only sees a dollar figure, because that is the number that tells you whether one truckload covers the job. On larger commercial runs the arithmetic flips to yards and a mixer, at which point the volume math in a concrete estimate is the one you want.
What does the slope of the yard do to the labor?
It decides whether panels rack, step, or get cut one picket at a time.
Racking means the rails follow the grade and the pickets stay plumb. Stepping means each bay stays level and drops at the post, leaving a triangular gap under the low side. Wood racks fairly well; vinyl and welded aluminum panels rack only within the manufacturer’s stated limit and often not at all, which forces stepping — and stepping is what generates the callback, because nobody warned the customer about the gap the dog can get through.

Write the fall on the estimate in inches, per run. “Yard slopes a bit” is not a measurement, and it is not a defense when the customer asks why the last three feet look different.
Which lines have to sit outside the per-foot price?
The ones that vary independently of length. Gates lead that list. A 4-foot walk gate and a 10-foot double drive gate on the same job are two different builds — the drive gate needs oversized posts, deeper footings, a drop rod, heavy hinges, and usually a diagonal cable brace to keep it from sagging in year two. Gates are where warranty work comes from, so they get priced per unit with the hardware named.
Demolition is the second. Removing 88 feet of old chain link means pulling eleven concrete footings, and a footing poured in 1974 comes out slower than a new post goes in. Price demo by the foot and footing extraction per unit.

What can’t be quoted until the locates are marked?
Anything that depends on what is under the ground you are about to auger through.
Calling 811 before digging is required by state law, it is free, and it is the step that separates a fence job from a gas leak. PHMSA’s damage prevention material puts it plainly: the call lets each affected operator come out and mark their underground facilities, and it applies to every digging project, including small ones — see PHMSA’s call before you dig page. Notice periods are typically a couple of business days and the marks expire, so a job that slips three weeks needs a fresh ticket.
The estimate consequence is real money. Inside the tolerance zone around a mark, you hand dig. A hole that takes four minutes with an auger takes twenty-five with a shovel and a probe, and if a marked line runs the length of the fence, half your holes just changed method. Write it as a conditional hourly line rather than eating it.

A 174-foot backyard enclosure in 6-foot pressure-treated privacy: three runs of 68, 44, and 48 feet, a 4-foot walk gate, a 10-foot double drive gate, 22 inches of fall across the middle run, and 88 feet of existing chain link to remove.

That is $49.92 per linear foot across the whole enclosure. Installed wood privacy commonly falls somewhere in the mid-$20s to around $60 per foot depending on region, height, material grade, terrain, and how many gates and corners are in the layout — use that only to check that your own buildup has not gone sideways, never as the price itself.
Post schedule shown to the customer: 24 posts total. Line posts at a maximum of 8 ft on center, actual spacing 7.6 ft on the north run, 7.3 ft on the sloped run, 8.0 ft on the south run.
Not included: survey or property line staking, HOA or permit fees, removal of vegetation along the fence line, sprinkler repair, staining or sealing, grading, gate automation or electrical.

How do I build the per-foot number instead of copying one?
Price one bay, then multiply. A bay is one post, one hole, roughly two bags of mix, three rail sections, and about seventeen pickets. That is the whole trade, repeated.

Time a bay on your next job with a stopwatch and you never need anyone else’s per-foot price again. Multiply bay minutes by your fully loaded crew cost per hour — both bodies, payroll taxes, insurance, the truck, the trailer, the auger, and the hours nobody pays you for — then add the material in that bay.
Then set the price, and set it by margin rather than markup. Adding 20 percent to cost gives you a 16.7 percent margin, not 20. If you want to keep 30 percent of the invoice, divide your cost by 0.70. On a bay that costs $118 all in, a 20 percent markup bills $141.60 and leaves $23.60; dividing by 0.70 bills $168.57 and leaves $50.57. Across 24 bays, that difference is the whole profit on the job.
What happens to the estimate once it is signed?
It turns into a deposit, a material order, and a balance due, and each of those is a different piece of paper.
